1) Acceptance of Terms
By accessing or using our Services, requesting pricing, submitting traveler information, or making a payment, you agree to these Terms & Conditions.
If you make a booking on behalf of other travelers, you represent that you are authorized to accept these Terms on their behalf and that you are responsible for ensuring all travelers comply with them.
2) Who we are
Best Vacation Travel LLC (“Best Vacation Travel”, “we”, “us”, “our”) provides travel agency services for hotels, cruises, vacation packages, and related travel products.

3) Eligibility & your account
- You must be at least 18 years old and capable of entering into legally binding agreements.
- You agree to provide truthful, complete, and accurate information.
- You are responsible for ensuring traveler names match passports or government-issued identification.
- You are responsible for maintaining the confidentiality of any credentials used to access our Services.
4) Our role as agent
We act solely as an independent travel agency/agent for third-party suppliers, including hotels, cruise lines, wholesalers, bedbanks, destination management companies, transfer providers, insurers, and payment service providers.
Your contract for the travel product is with the applicable supplier, not with us as the direct provider, unless expressly stated otherwise in writing.
5) Bookings & confirmations
- Quotes are not guaranteed: availability and pricing may change until payment is processed and the booking is confirmed.
- Traveler data: you must review all names, dates, occupancy details, and contact information before purchase.
- Confirmation required: a booking is confirmed only when a valid confirmation number, voucher, or locator is issued.
- Special requests: bed type, connecting rooms, early check-in, late check-out, or accessibility requests are not guaranteed unless confirmed in writing.
- Supplier approval: some reservations require manual or delayed confirmation after payment authorization or payment capture.
- Right to decline: we may decline a booking request where fraud, pricing error, incomplete documentation, or supplier refusal is involved.
6) Prices & payments
- Currency: pricing may be shown in USD or another currency made available by the supplier.
- Price accuracy: displayed prices may contain typographical, technical, or transmission errors.
- Payment timing: some bookings are charged at booking and others later, depending on the supplier or rate type.
- Deposits and balances: certain bookings may require partial payment or future balance payment by a stated due date.
- Failure to pay: missing a payment deadline may result in cancellation and loss of amounts already paid, subject to supplier rules.
- Authorization vs. confirmation: successful payment does not itself guarantee supplier confirmation.
- Pricing errors: if a material pricing error occurs, we may cancel the booking and refund amounts paid, unless you choose to proceed at the corrected price.

7) Changes & cancellations
All changes and cancellations must be requested through our team and are subject to supplier rules, availability, price differences, and applicable fees or penalties.
- Refundable rates: must be canceled within the applicable deadline and according to supplier policy.
- Non-refundable rates: generally cannot be canceled, changed, transferred, or refunded.
- Name changes: may be restricted or prohibited by the supplier.
- Travel-started services: no partial refunds are guaranteed for unused nights, missed segments, shortened stays, or missed embarkation.
- Cruises: cruise lines usually apply tiered penalties that increase closer to sailing.
8) No-shows & refunds
- No-show: if you fail to check in, embark, or use the reservation as scheduled, the booking may be treated as a no-show with no refund.
- Approved refunds: refunds, when available, are subject to supplier approval and processing time.
- Original payment method: refunds are generally returned to the original form of payment unless otherwise required by law.
- Bank timing: once processed, your bank or card issuer may take additional business days to post the refund.
9) Taxes, fees & local charges
Certain mandatory or optional charges may be collected directly by the supplier and may not be included in the price displayed unless expressly stated.

- City taxes or tourism taxes
- Security deposits
- Port charges, gratuities, and onboard fees
- Parking, Wi-Fi, energy, or facility surcharges
10) Traveler responsibilities
- Review all confirmations, invoices, traveler names, dates, and pricing immediately upon receipt.
- Comply with all supplier rules, including check-in times, age requirements, occupancy limits, and onboard conduct rules.
- Arrive on time for check-in, departure, transfer, embarkation, and all required procedures.
- Maintain valid travel documents, visas, vaccination records, and authorizations.
- Ensure you are medically fit to travel.
- Protect your belongings and personal items during travel.
11) Third-party suppliers
We do not own, manage, control, or operate the hotels, cruise lines, transportation services, activities, or other travel products offered through our Services.
We are not responsible for the acts, errors, omissions, representations, breaches, negligence, or insolvency of any supplier.
12) Supplier content, images & ratings
- Hotel ratings, classifications, reviews, amenities, maps, and descriptions may come from suppliers or third-party providers.
- Star ratings may vary by country or supplier criteria.
- Property images may be representative and may not reflect the exact assigned room.
- Renovations, maintenance, closures, or amenity restrictions may occur without notice.
13) Travel documents & health
- You are solely responsible for obtaining and carrying valid passports, visas, entry permits, transit documents, and any other required documentation.
- Passport validity rules may require validity beyond the end of your trip.
- Health, vaccination, testing, and medical requirements may vary by destination and may change at any time.
- Travel to certain destinations may involve greater risks, and you assume such risks voluntarily.
14) Travel insurance
We strongly recommend that all travelers purchase comprehensive travel insurance covering cancellation, interruption, delay, baggage loss, supplier default where available, and medical emergencies.
- Insurance is not included unless explicitly stated.
- Coverage depends on the policy issued by the insurer.
- You are responsible for reviewing exclusions, limitations, and eligibility requirements.
15) Payment processors & financing
Payments may be processed by third-party processors and financing partners, including Stripe and, where available, services such as Affirm or Klarna.
- We do not store full payment card or bank account details on our servers unless expressly stated through a secure process.
- Payment acceptance, fraud screening, financing approval, and installment eligibility are determined by the processor or financing provider.
- Financing products are subject to separate provider terms and disclosures.
- We are not responsible for processor declines, financing denials, account limitations, or payment holds.
16) Fraud, identity verification & chargebacks
- We may request identity verification, billing verification, traveler documentation, or authorization forms before completing a booking.
- We may cancel or refuse a booking if fraud, abuse, suspicious activity, or unauthorized payment use is suspected.
- You agree to contact us first to attempt good-faith resolution before initiating a payment dispute or chargeback.
- Fraudulent or abusive chargebacks may be contested using booking records, payment records, communications, logs, and supplier documentation.
- Where permitted by law, we reserve the right to recover administrative costs, collection costs, and losses arising from fraudulent disputes.
17) Permitted website use
- You may not scrape, copy, harvest, mirror, or systematically extract pricing, availability, content, or data.
- You may not use bots, scripts, crawlers, or automated tools without written permission.
- You may not use the website to make speculative, false, or fraudulent bookings.
- You may not resell travel inventory obtained through our Services without authorization.
- You may not interfere with the security, functionality, or performance of the website.
18) Supplier changes & operational disruptions
Suppliers may change or cancel travel services for operational, commercial, weather-related, maintenance, staffing, governmental, or safety reasons.
- Hotels may substitute room types of similar class or value where permitted.
- Cruise lines may change ships, ports, itineraries, sailing times, or onboard offerings.
- Amenities, restaurants, pools, entertainment, or services may be unavailable during part or all of your stay or sailing.
- Overbookings, closures, and inventory recalls may occur.
19) Disclaimers & limitation of liability
To the fullest extent permitted by law, our Services are provided on an “as is” and “as available” basis. We disclaim all warranties except those that cannot be lawfully excluded.
We are not liable for indirect, incidental, special, consequential, punitive, or exemplary damages, including loss of enjoyment, loss of profits, loss of data, emotional distress, missed connections, or reputational harm.
Our total aggregate liability arising out of or relating to any booking or use of our Services shall not exceed the total amount actually paid to us for the specific affected reservation.
20) Indemnification
You agree to defend, indemnify, and hold harmless Best Vacation Travel LLC and its owners, officers, employees, contractors, affiliates, and agents from and against claims, liabilities, damages, losses, judgments, penalties, costs, and expenses arising out of or related to:
- Your breach of these Terms
- Your violation of supplier rules or applicable law
- Your submission of inaccurate traveler, payment, or identity information
- Your misuse of the website or Services
- Your negligence, misconduct, or travel-related incident not caused by us
21) Governing law & disputes
These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles.
Any dispute arising out of or relating to these Terms, our Services, or any booking shall first be submitted to us for informal resolution in good faith.
If unresolved, disputes shall be resolved by binding individual arbitration administered by the American Arbitration Association (AAA) in Miami-Dade County, Florida, unless applicable law requires otherwise or unless you timely opt out in writing within 30 days of your first booking with us.
22) Intellectual property
All content on our website, including text, layouts, logos, graphics, software, code, icons, branding, images, and design elements, is owned by or licensed to Best Vacation Travel and is protected by intellectual property and unfair competition laws.
23) Privacy
Your use of our Services is also governed by our Privacy Policy and Cookie Policy.
24) Force majeure
We and our suppliers shall not be liable for delay, failure, interruption, cancellation, or change in performance resulting from events beyond reasonable control, including severe weather, hurricanes, earthquakes, floods, fire, epidemics, war, terrorism, civil unrest, labor shortages, transportation disruption, utility failure, cyber incidents, or government action.
25) Electronic communications
You consent to receive invoices, confirmations, notices, disclosures, and other communications electronically, including by email, website posting, SMS where applicable, or other electronic means.
26) Changes to these Terms
We may modify these Terms at any time to reflect changes in our business, supplier relationships, legal requirements, or website functionality.
27) Miscellaneous
- Severability: if any provision is held unenforceable, the remaining provisions remain in full force.
- No waiver: our failure to enforce any provision shall not operate as a waiver.
- Assignment: you may not assign your rights or obligations under these Terms without our prior written consent.
- Entire agreement: these Terms, together with supplier rules, policies, invoices, and confirmations, constitute the entire agreement regarding your booking and use of our Services.
